Job
Provides key administrative support to the director and assistant director of the International Program and to the Museum’s C-MAP (Contemporary and Modern Art Perspectives) program, including departmental programs and publications. Manages departmental calendars, including coordinating travel, maintaining attendance records, and updating the international art event calendar. Performs departmental tasks, including answering telephones, sorting mail, responding to general inquiries, ordering supplies, etc. Assists the assistant director in initiating the budget-planning process each fiscal year and consults with finance department as needed. Assists with the coordination of departmental budgets and funds, including specially funded programs such as the Cisneros Travel Fund. Provides daily financial and operations support. In collaboration with the director and assistant director, drafts reports on departmental and C-MAP fund expenditures as needed. Coordinates visitor programs and exchange programs run by the International Program. Communicates with vendors (Federal Express, hotels, apartments, etc.) and carefully monitors all expenditures, including ensuring compliance with contracts and other agreements. Builds effective relationships with relevant Museum departments related to the department’s day-to-day activities, including Security, Visitor Services, Development, External Affairs, etc. Keeps Museum staff informed on relevant international travel issues. Maintains content for department’s website. Reports to Director, International Program.

Requirements: Bachelor’s degree (preferably in art history or international studies) and two to three years relevant museum experience or equivalent. Good knowledge of, and interest in, 20th- and 21st-century art in a global context. Experience working with budgets. Excellent interpersonal, communication, diplomacy, and organizational skills. Strong writing skills. Proficiency in Microsoft Office, especially Word and Excel. Fluency in at least one foreign language, with a preference for one or more of the following: French, Japanese, Portuguese, Spanish, or Russian
